Equipment Tracking: Know Where Your Gear Is
Radios, keys, vehicles, uniforms—track it all. Our new inventory management feature handles check-out, transfers, and accountability for every piece of equipment.

Where's radio #47? Who has the master key? When was the AED last checked? If you can't answer these questions instantly, you have an inventory problem.
Track all equipment with check-out/check-in workflows, guard-to-guard transfers, and maintenance schedules. Know exactly who has what and when—no more mysteries about missing gear.
What You Can Track
Any equipment your team uses can be added to inventory:
- Radios and communication devices: Serial numbers, current holder, battery status.
- Keys and access cards: What each key opens, who has it, when it was last signed out.
- Vehicles: Assignment, mileage, maintenance schedule.
- Safety equipment: Flashlights, first aid kits, AEDs, fire extinguishers.
- Uniforms: Sizes, quantities, assignments.
Check-Out and Check-In
When guards start a shift, they check out equipment. When they end, they check it back in:
- Guard opens the shift check-in screen
- Scans or selects equipment being checked out
- System records who has what, with timestamp
- At shift end, guard checks equipment back in
- Any missing items are flagged immediately
No more mysteries about missing equipment. The system knows exactly who had what and when.
Transfers Between Guards
When one guard hands equipment to another during a shift change:
- Outgoing guard initiates transfer in the app
- Incoming guard accepts the transfer
- Custody chain is documented automatically
This creates an unbroken chain of custody for every piece of equipment.
Maintenance and Inspection Tracking
Some equipment needs regular attention:
- Set inspection schedules (daily, weekly, monthly)
- Get alerts when inspections are due
- Log inspection results with photos
- Track maintenance history
Reporting
Generate reports showing:
- Current equipment assignments
- Equipment that's overdue for return
- Maintenance history and upcoming schedules
- Loss and damage incidents
- Equipment utilization rates
Getting Started
Inventory management is available now. Start by adding your equipment catalog in Settings. Then configure which items require check-out tracking and which are site-assigned.
Start with high-value or frequently-lost items (radios, keys) and expand from there.
Key Takeaways
- Track radios, keys, vehicles, safety equipment, and uniforms
- Check-out/check-in creates unbroken chain of custody
- Guard-to-guard transfers document handoffs automatically
