Certification Tracking: Never Miss an Expiration

An expired guard card is a liability. An expired CPR certification could be a tragedy. Certification tracking ensures your team stays current.

What You Can Track

Any credential or certification your team needs:

• Guard licenses: State-issued security credentials.
• Firearms permits: Armed guard certifications.
• First aid/CPR: Emergency response training.
• Driver's licenses: For guards who drive patrol vehicles.
• Specialized training: De-escalation, crowd control, site-specific training.
• Background checks: Track when renewals are needed.

Adding Certifications

For each certification, record:

• Type of certification
• Issue date and expiration date
• Issuing authority
• Certificate number or ID
• Upload of the actual document (image or PDF)

Guards can submit their own certifications, which supervisors verify before approval.

Expiration Alerts

Never be surprised by an expiration:

• 90-day warning: Plenty of time to schedule renewal.
• 30-day warning: Urgent reminder to complete renewal.
• Expiration alert: Certification has lapsed.

Configure which alerts go to guards, which to supervisors, and which to administrators.

Compliance Dashboard

See team-wide certification status at a glance:

• Percentage of team fully compliant
• Certifications expiring this month
• Overdue certifications requiring immediate attention
• Guards who can't work due to missing certifications

Scheduling Integration

Certifications affect what guards can do:

• Guards with expired certs can be blocked from scheduling
• Armed posts only show guards with valid firearms permits
• Driving assignments require valid driver's license

This prevents accidentally assigning someone to a post they're not certified for.

Audit Trail

For compliance audits, you have complete history:

• When each certification was added/updated
• Who verified each certification
• Historical certifications (even after expiration)
• Export for regulatory reporting

Getting Started

Certification tracking is available now. Start by defining the certification types your organization requires in Settings. Then have supervisors add current certifications for each guard.
